Best Tools for Your Online Wellness Business – Part 1 of 3

When you build an online health business, your software becomes your office, receptionist, filing cabinets, and delivery system.

Success isn’t about choosing the most popular platform. It’s about choosing the one that fits how you actually work.

Below is a practical breakdown of the most common program delivery paths for coach-practitioners today.

1. Entry Level: Manual Email Delivery

Best for: Brand-new coaches testing the waters with 1–5 clients.

This is the true “shoestring” approach. Program files live in a cloud folder, and clients receive links via email.

Typical Tools: Google Drive, Dropbox, AWS, OneDrive

Reality Check:
It works—but it’s clunky and unprofessional. Once you move beyond a handful of clients, manually managing dozens of emails becomes unsustainable.
Lowest software cost. Highest time cost.

2. The Practitioner’s “Easy Button”: Healthie & Practice Better

Best for: Coaches and clinicians who need practice management (HIPAA, charting, scheduling).

Platforms like Healthie and Practice Better are built specifically for health professionals. They centralize scheduling, billing, messaging, and client notes.

Licensed programs can be uploaded once and assigned to clients repeatedly.

Pros

  • Everything in one place

  • Professional, clinical client experience

  • Minimal tech setup

Cons

  • Ongoing monthly “rent” to house your business
  • Advanced plan required for program delivery

3) The All-in-One Marketing Platform: Kajabi

Best for: Coaches focused on digital courses, funnels, and automated sales.

Kajabi excels at email marketing, landing pages, and course sales. It is designed for the online course creator model.

Reality Check: Kajabi does not provide clinical charting, intake documentation, or practitioner-style workflows. Programs must be uploaded and organized manually.

Pros

  • Strong marketing and funnels
  • Built-in website and landing pages
  • Excellent automation

Cons

  • Not designed for clinical workflows
  • Manual setup required

    4. The Ownership Model: WordPress Membership Sites

Best for: Practitioners who want platform ownership and a delivery environment.

This option places your membership site directly on your own WordPress server, with DSD programs preloaded.

    Why It Works

    • Full ownership and brand control
    • No per-client platform fees
    • Unlimited programs
    • Flexible integrations

Trade-Off: Requires technical setup or support.

      5. The Pro-Marketer Stack: Keap + AccessAlly

Best for: Established businesses with complex automation and high sales volume.

This is the system I personally use. It supports deep CRM reporting, advanced e-commerce, and sophisticated automation.

      Pros

      • Deep automation capability
      • Sophisticated funnels
      • Strong reporting and segmentation

      Reality Check

      • Powerful—but complex. Most practitioners don’t need this level of infrastructure until their business is scaling.

      My Frank Advice

      Every business grows in stages.

If you are actively working with clients, start where delivery is easiest—Healthie or Practice Better—so you spend your time coaching, not configuring software.

If your focus is selling programs at scale, Kajabi or a membership site can provide more marketing flexibility.

Deciding between Healthie and Practice Better is one of the most common “fork-in-the-road” decisions my clients face.
Both are excellent, HIPAA-compliant, and support seamless DSD program delivery—but they have very different personalities.

Think of this as choosing which office you want to work from every day.

Healthie vs. Practice Better: Which Fits You?

Both platforms handle messaging, scheduling, billing, and program delivery well. The difference shows up in how you run your business day to day.

      Healthie

      The “Scalable Clinic” Platform

Healthie feels closer to a clinical EHR. It’s designed to grow—from solo practitioners to large, multi-provider clinics.

      Strengths

      • Robust Mobile App: Excellent for client engagement (food logs, metrics, tracking).

      • Telehealth: Built-in video is stable and professional.

      • Marketing Tools: Strong native forms and intake tools to support lead capture.

      Trade-Offs

      • Learning Curve: Powerful, but the backend can feel complex at first.

      • Cost Scaling: Pricing increases as you add providers or advanced features.

      Practice Better

      The “Automation Queen”

Practice Better is a favorite among health coaches and nutrition professionals. It’s intuitive, streamlined, and clearly built with workflow efficiency in mind.

      Strengths

      • Ease of Use: Clean interface—most users need little to no training.

      • Automations: Best-in-class “if-this-then-that” workflows (purchase → tags → forms → bookings).

      • Protocol Builder: Excellent for supplements and lifestyle recommendations.

      Trade-Offs

      • Mobile App: Functional, but not as robust for daily client logging as Healthie.

      • Clinic Scale: Large, medical-style clinics may want more detailed charting.

      My Bottom-Line Advice

      Choose Healthie if:
You want a powerful client app that your clients use daily, or you’re building toward a multi-provider clinic.

      Choose Practice Better if:
You want to be up and running fast, love automation, and prefer a modern, lightweight system.

      Next Step

Both platforms offer free trials. Spend 20 minutes in each. Most people instantly know which one they “click” with—and that matters more than feature lists.

👉 Action: Start the trials, trust your workflow instincts, and choose the platform that makes you want to log in every day.

      Ready to Test-Drive?

The fastest way to know which platform is right is to get inside and click around. Both platforms offer free access or trials so you can explore the interface, but program distribution requires the advanced plan on both platforms.

      • Try Practice Better
Start with the Free Forever plan to explore the interface.
👉 Note: You’ll need the Advanced Plan to distribute licensed DSD programs.

      • Try Healthie
Sign up for a demo or starter account to preview features.
👉 Note: Program delivery also requires an Advanced Plan.

      Your 3-Step Action Plan

If you’re feeling analysis paralysis, use this simple path to momentum:

      1. Identify Your Business Model

      • Client-based practice → Healthie or Practice Better

      • High-volume, standalone courses → Kajabi or a Starter Site

      2. Pick Your “Office”

Spend 20 minutes in each platform. One will feel immediately more intuitive—and that’s the one you’ll actually use.

      3. Deploy Your Content
